Narrator Privacy Notice

Who this notice is for
This notice explains what we do with the personal information you give us when you apply to narrate for Vocabulary Stories, and when you deliver a commissioned video. It applies to narrators and applicants only.

1. Who we are
Snap Digital Ltd, trading as Vocabulary Stories, is the data controller for the information described here.

2. What we collect
When you apply, usually through a social media comment or message
- Your name
- Your email address
- A link to your showreel, self-tape or other example of your work
If we commission you and you deliver a video
- Your postal address
- The story you narrated and a link to your video
- Your confirmation that you are 18 or over
- Your agreement to our terms, and the date and time you gave it
- Your preferred payment method
When we pay you
- Bank account holder name, sort code and account number, and whether the account is personal or business — or
- Your PayPal email address
We do not ask for payment details until we have commissioned you.
3. Why we collect it, and our lawful basis
We only process your personal information where we have a lawful basis to do so:
- Reviewing your application and deciding whether to commission you — steps taken at your request before entering a contract.
- Contacting you about the work — steps taken at your request before entering a contract.
- Paying you — performance of a contract.
- Keeping your payment details on file between commissions — our legitimate interest in not making you re-enter them each time. You can object to this, or ask us to delete them, at any time (see Section 9).
- Keeping payment and remittance records — legal obligation under UK company and tax law.
- Recording your agreement to our licence terms — our legitimate interest in being able to show we hold the right to publish your video.
4. Your video
If you deliver a commissioned video and we publish it, it appears on our public YouTube, Instagram and website channels. The terms you agreed when submitting set out the licence you granted us, including that we will not remove a published video on request.
We do not use narrator videos in paid advertising.
5. How long we keep things
- Bank and PayPal details: kept while you are working with us, so you don't have to re-enter them for each commission, and deleted 12 months after your last commission.
- Payment and remittance records (your name, address, amount, date): six years from the end of the financial year, as UK company law requires.
- Your submission and your agreement to our terms: for as long as the video remains published, and for six years afterwards.
- Applications we don't take forward: deleted within 6 months.
6. Who we share it with
We do not sell your information and we do not share it for marketing.
We use Google Workspace services (Google Forms, Sheets and Drive) to receive and store submissions, and our bank or PayPal to make payments. Where you contact us through a social media platform, that platform handles your message under its own privacy policy, which we do not control.
If your video is published, your name and likeness will be visible to the public on the platform it appears on.
7. Where your data is held
Our providers may store or process data outside the UK. Where they do, they rely on safeguards approved for UK data transfers.
8. How we protect it
Access to submissions is limited to the account we use to run this programme, which is protected by two-factor authentication. Financial details are collected through a separate form from the main submission form, and are deleted after payment.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything inaccurate
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask us to transfer it to another provider
- withdraw consent, where we relied on consent
One thing to be clear about: asking us to delete your personal information is not the same as withdrawing the licence you granted us for a published video. We may need to keep a minimum record of your agreement and payment even after deleting the rest, because company and tax law requires it.

10. Complaints

11. Changes
If we change this notice we will update the date at the top. The version that applied when you submitted is the one that governs your submission.
